Purpose
Hiya is committed to providing meaningful internship opportunities that support student development, strengthen our early talent pipeline, and build lasting partnerships with universities. To ensure an equitable, respectful, and professional recruiting experience for all parties involved, we maintain the following guidelines and expectations for students engaging in our internship interview process
Hiya Onsite & In-Person Professional Ethics Policy
Hiya is committed to maintaining a safe, respectful, and professional environment during all onsite interviews, company events, and internships. All students and intern candidates participating in Hiya’s recruiting process, events, and onsite activities are required to comply with this policy.
Professional Conduct Expectations
- Students are expected to conduct themselves in a professional and respectful manner at all times while onsite or attending Hiya events.
- All participants must comply with all applicable local, state, and federal laws while onsite at Hiya facilities or at Hiya-sponsored events.
- Candidates and interns must follow all Hiya-directed guidelines and instructions, including those related to access restrictions, safety protocols, and event participation.
- The use, possession, or influence of alcohol, drugs, or any controlled substances during interviews, onsite activities, or working hours is strictly prohibited.
- Any behavior that endangers safety, violates laws, or disrupts the professional environment will be taken seriously and may result in immediate disqualification from the recruiting process or termination of internship.
Consequences of Violations
- Failure to comply with these standards may lead to:
- Immediate removal from Hiya premises or events.
- Rescission of internship offers or termination of internship.
- Notification to the candidate’s or intern’s university or college.
- Possible legal action if applicable.
Ethical Guidelines & Policy Violations
Hiya expects all intern candidates to conduct themselves with the highest standards of integrity, professionalism, and respect throughout the recruiting process, during their internship, and within their academic environment.
Internship offers may be rescinded or terminated immediately if any of the following occur:
- The student fails to complete their current academic year in good standing.
- The student is involved in significant legal, ethical, or disciplinary issues, including but not limited to:
- Criminal behavior
- Academic dishonesty
- Harassment, discrimination, or other forms of misconduct
- Any actions that negatively impact the student’s character or the reputation of Hiya
- The student ceases communication (“ghosts”) or withdraws from the recruiting process in an unprofessional manner.
- The student engages in unprofessional conduct toward Hiya staff, other candidates, or peers, including but not limited to:
- Harassment
- Use of profanity
- Threatening or disrespectful behavior
- The student continues interviewing with other companies after accepting Hiya’s offer without notifying us.
- The student accepts multiple internship offers simultaneously.
- The student fails to disclose competing offers or interests when requesting accommodations such as offer holds.
In cases where these violations occur during Hiya’s interactions with the student,, Hiya reserves the right to issue a formal written report to the student’s college or university. Such reports may lead to disciplinary review or sanctions under the institution’s academic or honor code policies.
Photo & Media Release
By participating in the Hiya internship program and its recruiting events, students grant Hiya the right to use photographs, videos, or quotes from internship-related events on our website, social media platforms, and internal communications for promotional purposes.
Students who wish to opt out must submit a written request to recruiting@hiya.com prior to the start of their internship.
Offer Hold Requests & Withdrawing Acceptance Policy
Hiya understands that students may be navigating multiple opportunities. However, accepting an offer with Hiya is a serious commitment. If a student wishes to explore another opportunity after accepting our internship offer, they may request that their offer be placed on temporary hold. This is not automatically granted and will be evaluated on a case-by-case basis based on transparency, timing, and conduct.
Key Guidelines for Offer Hold Requests:
- Case-by-Case Review: Offer holds are discretionary and not guaranteed. Students must contact their Hiya recruiter directly to initiate the request.
- Transparency Required: Full disclosure of the reason for the request and details of the competing opportunity is expected.
- Weekly Check-Ins: If a hold is granted, the student must provide weekly updates via email or short call.
- One-Time Consideration: Offer holds are a one-time accommodation and additional extensions are rare. They require exceptional context and ongoing transparency.
Withdrawing After Acceptance
While we strongly discourage reneging on accepted offers, we understand it may occur. If a student decides to withdraw after accepting an offer, we expect the following:
- Phone Call Required: A professional phone call with the talent partner is mandatory before you have provided an acceptance to the other company. Email or text withdrawals are not acceptable.
- Clear Communication: During the call, the student should:
- Provide a brief, professional explanation for their decision.
- Parameters used for the decision.
- If appropriate, offer to refer qualified peers.
Acknowledgment
By participating in Hiya’s recruiting process or internship program, students acknowledge their responsibility to adhere to this policy and understand that violations may have serious consequences.
